AdviserCheck is an AI-powered compliance intelligence platform for the Australian financial advice ecosystem. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our service.

1. Information We Collect

1.1 Account Information

When you sign in using Google OAuth, we collect:

Your email address
Your name as provided by Google
A unique user identifier generated by Google

We do not have access to your Google password. All authentication is handled by Google's secure infrastructure.

1.2 Documents You Upload

When you upload documents for analysis, we temporarily store:

The document file itself (PDF, DOC, or DOCX format)
The extracted text content
Document metadata (filename, file size, page count)

PII masking: Before any document text is sent to AI providers, personally identifiable information such as Tax File Numbers, ABNs, Medicare numbers, phone numbers, and email addresses are automatically detected and masked. Only the masked text is transmitted to AI services for analysis.

1.3 Analysis Results

When you run a compliance analysis, we generate and store:

Compliance scores and layer scores
Findings with evidence snippets extracted from the document
Regulation references identified during analysis
Recommendations generated by the AI pipeline

1.4 Payment Information

When you purchase credits, payment processing is handled entirely by Stripe. We do not collect, store, or have access to your credit card details or bank account information. Stripe provides us with payment confirmation details only (purchase amount, date, and credit pack purchased).

1.5 Usage Data

We collect basic usage data including:

Credit purchase and usage history
Referral activity (who you referred, rewards earned)
Analysis run history

2. How We Use Your Information

To provide the analysis service: Your documents are processed by our multi-AI analysis pipeline to generate compliance findings.
To manage your account: We track your credit balance, purchase history, and referral rewards.
To improve the platform: Anonymised analysis patterns may be used to improve analysis accuracy over time. No personally identifiable information is used for this purpose.
To communicate with you: We may send transactional emails related to your account (welcome email, purchase confirmations). We do not send marketing emails.

3. Document Text Retention — Immediate Deletion

Extracted document text is deleted immediately after analysis completes. The text is cached briefly during processing and purged once the analysis is finished. No extracted text content is stored long-term.

The following information is retained after analysis:

Compliance analysis results (scores, findings, evidence snippets, recommendations)
Regulation references identified during analysis
Document metadata (filename only, not the content)

This ensures you can review your analysis history without retaining sensitive client document content.

4. Data Storage and Security

Your data is stored in a managed database platform with encryption at rest and in transit. The application servers, database, and cache infrastructure are all hosted in Sydney, Australia, ensuring your data remains within Australian jurisdiction during processing and storage. Access is controlled through strict authentication and authorisation mechanisms. All communication between your browser and our servers is encrypted using HTTPS.

We implement the following security measures:

Encrypted database storage (encryption at rest)
HTTPS encryption for all data in transit
Session-based authentication using secure cookies
Service-role restricted access for backend operations
No storage of raw document content beyond the analysis window

5. Third-Party Services

AdviserCheck uses the following third-party services. Each service processes data only as necessary to provide its function:

Google OAuth — Authentication and identity verification. We receive your email and name only.
Stripe — Payment processing for credit purchases. We do not see or store your payment details.
AI Analysis Providers — Document text is sent to third-party AI services for compliance analysis. We select providers based on capability and security standards.
Database & Cache Provider — Database hosting and caching for user accounts, credit transactions, analysis results, and referral data.
Resend — Transactional email delivery (welcome emails, purchase confirmations).

Each AI provider processes document text solely for the purpose of generating the compliance analysis. We do not permit the use of your data for training or improving general-purpose models. Refer to each provider's privacy policy for further details on their data handling practices.

6. Data Sharing

We do not sell, rent, or share your personal information with third parties for their marketing purposes. Your data is only shared with the third-party services listed above as necessary to provide the platform's functionality.

We may disclose information if required by law, or to protect the rights, property, or safety of AdviserCheck, our users, or others.

7. Your Rights

Under the Australian Privacy Act 1988 (Cth), you have the right to:

Access: Request a copy of the personal information we hold about you.
Correction: Request correction of any inaccurate or incomplete information.
Deletion: Request deletion of your account and associated data. Note that analysis results may be retained in anonymised form.
Complaint: Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the Privacy Act.
